We recommend reviewing our Administrators Getting Started hub for a quick overview of Admin capabilities.

Who can see the Admin Tools?

The Admin Tools are only available for organization with a School & District license.

Access to the tools is granted to anyone whose role in the Formative school & District plan is either an Admin or an Org Manager. These roles are normally granted to Principals, Department Heads, and any administrator who needs to access team data. Individual teachers will not have this tab on their Formative site view. See the links at the bottom of this article for more on School & District license subscriptions and adding Admin roles!

With your Admin Tools, you can:

  • Add and remove educators to/from your Plan

  • Organize your District or School into sub-teams

  • Give educators Admin privileges

  • View and track your Team's Common Assessments

  • View and track data by educator

.... and more!

To get started, search for the "Admin Tools" menu on the left side navigation bar. From here, you can access the different Admin Tools tabs, each of them including additional sections within. Let's take a closer look:

Management

Team Management

Use the Team Management section to add team members to your School & District license (or remove them), create and manage teams, create and manage sub-teams and PLCs, and change your team members' roles.

Click on the linked articles above to learn more about all the different functionalities of this section.

Data Export

When enabled, the Data Export tab can be used to export usage data across the organization. Select your desired export settings and when ready click "Export" at the bottom of the page

Reports

Common Assessments

Whenever an educator in your School & District licensed team tag a formative as a Common Assessment, these are placed on the "Common Assessments" section of your Admin Tools Reports, so that you can find them quickly and easily. The Common Assessments tab allows you to view and track performance on these high-stake assessments across your organization. Click the linked article above to learn more!

Teachers Report

View activity and tracker for each teacher across your organization, and access their classes and formatives. You will be able to perform different actions within these, including transferring ownership of classes from one teacher to another and even transferring ownership of formatives from one teacher to another. More on Teachers Report in this link!

Team Tracker

From the "Team Tracker" section in your Admin Tools Reports tab, you can view all of your teachers' data in one place. This Team Tracker allows you to see and compare progress - by teacher, class, and individual students - on formatives and against standards. Click the article linked above to learn more about this section. Learn more about the Team Tracker here!

Progress

While the Team Tracker provides an overview of students and classes performance on standards at any given moment, the Progress section allows for a more in-depth look on students and teachers' progress on standards over time!

Standards Progress will present trends in relation to former semesters and even years, and will allow you to create in-depth reports. More on this powerful report here!

AI Content (Balanced Assessment by Formative only)

Luna Configuration Studio (Balanced Assessment by Formative only)

Luna Configuration Studio lets districts and schools with the Balanced Assessment license, create custom Luna configurations that shape how Luna behaves when generating, reviewing, or editing content. Think of configurations as purpose-built AI assistants, similar to Gemini Gems or custom GPTs, but designed specifically for Formative workflows, assessment creation, and instructional alignment. The Luna configurations help customize how Luna creates and revises instructional content.

A library of pre-built grade-specific configurations is also available in Luna Configuration Studio. These configurations cover Common Core State Standards, Next Generation Science Standards, and a select number of states.

This guide explains what Luna configurations are, how admins create and manage them, and how teachers use them inside Formative.
